Accounting Clerk (Billings & Collections)

The Accounting department in the Toronto office is looking for an Accounting Clerk (Billings & Collections) to join their team on a permanent full-time basis.

Primary Responsibilities

  • Prepares pre-bills and generates billing reports as requested by lawyers and legal assistants
  • Transfers dockets and disbursements between files as per billing lawyer request
  • Prepares and submits electronic bills ensuring compliance with client guidelines and firm policies and procedures
  • Provides accounts receivable with information regarding short payment of electronic invoices and submits appeals
  • Prepares accounts for certain designated lawyers including accounts in Word and documents in support of accounts
  • Obtains daily USD and CAD conversion rates and assists with preparation of inter-office accounts including conversion to foreign currencies (primarily USD conversion) and co-ordinates with billing staff in Toronto, New York and Montréal
  • Prepares Excel backup for conversion of accounts billed in currencies other than the currency of the local office
  • Generates monthly reports and prepares accruals for various clients including Work-in-Progress (WIP) and Accounts Receivable (AR) Schedules in Excel
  • Updates matter notes in regards to inter-office matter links on a daily basis
  • Updates and maintains Alternative Fee Arrangement (AFA) schedule including discounts and special rates on a daily basis
  • Assists with special projects and provides back up to other billing and collection resources when required including preparing daily deposits, submission of electronic invoices and 30-day reminder notices

Skills/Knowledge/Experience Requirements

  • Accounting diploma with a minimum of three (3) years of previous experience in a busy Accounting role
  • Previous experience with e-billing in a law firm or professional services environment
  • Excellent organizational and interpersonal skills
  • Accurate and detail oriented with the ability to handle multiple priorities and daily requests from lawyers and legal assistants
  • Excellent written and verbal communication skills with a positive and professional demeanor
  • Ability to work independently and in a team setting
  • Intermediate Microsoft Office skills including Word and Excel
  • Knowledge of accounting software. Experience with Aderant Expert accounting system would be an asset
