About the Position

We are looking for a Document Specialist to join the Business Centre in our Montréal office. Reporting to the Supervisor, Business Centre, the successful applicant will support our professionals in all technical aspects of document production and act as a point of reference for all questions related to the Microsoft Office suite and other office applications.

The successful candidate will be a Microsoft Office reference, enjoy working with a variety of applications and document types, and share his/her office automation expertise, playing an essential role in the ongoing training of the firm's members. In addition, he or she is meticulous and recognized for his or her thoroughness, excellent time management, technical skills and interpersonal qualities.

Business Centre hours are between 9 a.m. to 11 p.m. Various shifts are available. We're flexible and attentive to your needs.

Primary Responsibilities

  • Draft, format and revise legal and other complex documents in Word from handwritten text, documents converted from PDF, the firm’s templates and the transcription of digital dictation
  • Create Excel spreadsheets, tables, graphics and organizational charts
  • Design PowerPoint presentations and legal document templates
  • Proofread documents by checking spelling, grammar and formatting in both French and English to ensure compliance with Davies' guidelines and visual identity
  • Provide frontline technical support in Microsoft Office, especially in Word, to our users by tapping into one’s advanced knowledge of Word, Excel and PowerPoint
  • Provide expert assistance in other desktop applications such as Adobe Pro
  • Develop and share best practices for working efficiently in Microsoft Office
  • Prioritize work effectively while respecting deadlines
  • Keep abreast of new technologies and developments in document production
  • Participate in special projects and perform any other related tasks

Qualifications

  • College diploma in office automation techniques or equivalent diploma and a minimum of seven (7) years' experience in a document specialist position, preferably in a professional services firm or law firm; an equivalent profile combining a diploma, training and experience may be considered
  • Exceptional proficiency in advanced functions of Word, Excel, PowerPoint and Adobe Pro
  • Ability to work with graphics and images
  • Outstanding client service and excellent communication and interpersonal skills
  • Excellent oral and written skills in French and English *Our Montréal office represents and delivers service in Québec both to Québec-based clients and to clients that do business in Québec. The incumbent will be required to interact and produce content in both French and English, hence verbal and written proficiency in both languages is required.
  • Ability to manage priorities and evaluate time required to meet deadlines
  • Strong analytical skills and proven ability to resolve technical questions promptly
  • Exceptional attention to detail
  • Comfortable working under pressure in a professional and consistently evolving environment
  • MOS Certification an asset
  • Knowledge of organizational chart software an asset
